How to manage your tasks in Briefmatic

Follow this step by step guide to view & edit new and existing tasks in your todo list in Briefmatic.

Briefmatic makes it easy to view all your tasks from all your apps, all in one place. In this guide we explain how to view, edit and manage all those tasks once they are in your todo list in Briefmatic.

Step 2 - Connect your Google Drive profile

Connect your google drive profile to your Briefmatic account. This will allow Briefmatic to import all your tasks ("comments" that have been assigned to you) from across all your documents in google drive. The tasks will be added to your todo list (shown in Task List or on the Task Board).

Step 3 - Add your connections

Navigate to the Connections page to connect all your apps to Briefmatic. This will ensure your todo list in Briefmatic includes all your tasks from all your apps. On this page you can view all the apps available for connection as well as a brief description of what the connection will enable i.e. if you connect your Gmail account to Briefmatic you will be able to see, reply and resolve all your starred emails from within Briefmatic.

Step 4 - View all your tasks

Once all your tasks from all your apps (including all your starred items from Gmail) have been added to your todo list in Briefmatic you can then start to view, prioritise and manage them. You can view all your tasks in Briefmatic either in list format view on the Task List page, or in a Kanban board format on the Task Board page.

The Task List page is perfect for those of you who like to view all your tasks in a simple todo list. All items are grouped according to their status i.e. to do, doing, done. Each item includes a document type indicator, a number of comments tracker and a brief description, a due date and a status. You can click on an item to change the status or description, add comments, or amend the due date.

The Task Board is for the agile maestros. You can customise the board to suit your ways of working by editing the titles of the existing swim lanes and by adding your own additional swim lanes if required. Drag and drop items to move and prioritise them and use the quick add "Add Task" item to add additional "to do's."

Step 5 - Edit a task

To edit a task in Briefmatic just click on the relevant item in either Task List or on the Task Board. This will open a side bar that allows you to view and edit the task. Once the task sidebar is open you can add or change the title and add or change the due date or description.

Step 6 - Complete a task

Once a task is complete, click on the tick at the top of the side bar to mark the item as completed. This will move the task to the Done column in your Task List and on the Task Board. To reopen the task, just find the item in your Done column, click on the item to open it and then click on the tick again. This will move the item into your todo list.

To dismiss the item click on the stop sign at the top of the side bar. This will move the item into the Dismissed column on the Task List and remove it entirely from your Task Board. To reopen the task you will need to find the item in the Dismissed column of the Task List and then click on the stop sign to re open it.
