How to Use the Teams Tab in Briefmatic to stay on top of your shared work

This guide explains how to track and manage every task you've shared with teammates, all from one dedicated Teams tab.

When you're delegating work to clients, stakeholders, or team members, keeping track of where everything is at can quickly become a challenge. Constantly chasing updates, digging through email threads, or switching between tools adds friction and eats into your day.

The Teams tab in Briefmatic solves this. It gives you a single view of every task you've assigned to others, showing you real-time status, due dates, priority, and schedule - all based on the task owner's progress. No chasing required.

Follow these steps to start using the Teams tab in Briefmatic.

Step 2 - Assign a Task to Someone

Tasks appear in your Teams tab as soon as they've been assigned to someone else. To assign a task, open it from either your Kanban board or your To Do list view.

Once the task detail panel is open, click into the Assigned To field and enter the email address of the person you'd like to assign it to.

  • If they're an existing Briefmatic user, they'll see the task in their account immediately.

  • If they're not yet a Briefmatic user, we'll automatically send them an email inviting them to view the task inside Briefmatic.

As soon as the task has been assigned, it will appear in your Teams tab.

Step 3 - Open the Teams Tab

Click on the Teams tab in the left-hand sidebar. Here you'll see a list of every task you've assigned to others, regardless of who they are or whether they're inside your organisation.

Each task displays the current status, due date, priority, and schedule - all reflecting the task as it stands for the person you assigned it to. This means you're always seeing an accurate, up-to-date picture of where the work actually is, not just where you left it.

Step 4 - Track Progress at a Glance

The Teams tab is designed to give you a fast read on everything that's in someone else's hands. Use it to spot tasks that are overdue, approaching their due date, or haven't been started yet - without needing to follow up individually with each person.

You can sort and filter the task list by status, due date, priority, or assignee to focus on what matters most in the moment.

Step 5 - Use Comments to Stay in the Loop

For any task in your Teams tab, click into the task detail view to open the Comments section. Use comments to:

  • Provide context or additional instructions

  • Ask questions or request an update

  • Share feedback and iterate on the work

All comments are visible to both you and the assignee, keeping the conversation tied directly to the task rather than buried in a separate email chain or chat thread.

Step 6 - Review Completed Tasks

When an assignee marks a task as done, its status will update automatically in your Teams tab. This gives you a clear record of what's been completed without needing to ask.

If the work needs further action, whether that's a follow-up task, a revision, or reassignment to someone else you can manage that directly from the task detail view.
